The Challenges:

  • Long Check-In Lines Due to Manual Processes: LEAF's pre-fielddrive check-in method involved attendees signing in manually in a paper binder. This process was slow, with long lines forming as attendees struggled to find their names in the alphabetized list. After the COVID, LEAF, Inc. wanted to opt for a touchless check-in and badging solution that could streamline and fast-track their entry processes. 
    "The reason why we went with fielddrive is because after COVID we needed to go with a touchless type of sign-in and badging system. Before we were having people sign in in a binder, and the lines would be long... With fielddrive, they’re not long anymore," Deborah Orsini, Assistant Director for Finances and Human Resources at LEAF, Inc., said.
  • Time-Consuming Badge Pre-Printing: Before partnering with fielddrive, LEAF, Inc. typically began the badge printing process up to three months before each event and spent hundreds of hours preparing and alphabetizing them.
    Deborah explained, “We were printing them off a regular printer... inserting them into plastics and alphabetizing them.”  This process was a major drain on staff resources, and LEAF, Inc. wanted to find a way to streamline and fast-track it.
  • Security Risks from Unauthorized Access: LEAF, Inc. encountered issues with attendees using old badges to gain unauthorized access to the event. The key reason behind it was the fact that LEAF, Inc. used the same badge template for all their events, making it possible for attendees to just get their badges once and then use them in future events. This created a significant security risk as it was challenging to gauge who was officially registered for a specific event and who wasn’t.
    As Deborah shared, "People would just recycle an old badge and think that because they’re a member, it was okay. But with fielddrive’s custom badges, we can easily capture those who aren’t actually registered." 
  • Inefficient Walk-in Registration Processes: Handling unregistered walk-in attendees added additional complexity which further slowed down the check-in process. Walk-ins were often missed, making event security and inaccuracy in registration data a persistent issue.
